Why We Like Back to School

When I was a kid, I always loved this time of year. During the last weeks of summer, just as all of my friends were trying to forget the soon-to-be start of the school year, I would haunt the stationary stores that had “Back to School” sales. I just couldn’t wait!

I haven’t changed all that much – it’s still my favorite time of year. Because as Labor Day approaches and Autumn is near, more and more manufacturers and distributors are reviewing functions and procedures to become more effective and to drive business. And driving business is what effective ERP is all about.

I attended several tradeshows for manufacturers and distributors for a broad array of businesses this summer, and I kept hearing the same thing over and over again. Autumn is often a company’s most important calendar season, and more and more businesses said they will only succeed by working more efficiently, by streamlining processes and by integrating procedures.

For me, the best part of implementing SYSPRO ERP is sitting down with clients first and learning everything there is to learn about how they do business. These sessions, called JAD (Joint Application Design), are like the biggest, most extensive “What I Did for My Summer Vacation” tests in the entire world. Every facet of the business, from internal communications to shop-to-floor protocols to made-to-order procedures and everything in-between are reviewed to see how SYSPRO can manage – and improve – on them. It’s a mutual learning process that brings to mind my happiest moments at school.

So, to all the companies we’ve met this summer, and all those we will meet this Autumn, let’s crack the books and see how we can make your business more profitable.

SYSPRO: “Hidden Data” as Vital as “Big Data”

I just got some fascinating news from SYSPRO – they have announced today that SYSPRO ERP software offers users the ability to access “hidden data” as well as “big data.”

We’ve heard a lot about “big data” in the news, but for manufacturers it’s a must to execute efficient and rapid product recalls.  Joey Benadretti, President of SYSPRO USA, said,  “While the utilization of ‘big data’ helps a company identify trends and chart future courses, the importance for numerous companies to have access to ‘hidden data’ cannot be overstated.  One of the underlying principles of basing business decisions on ‘big data’ is that the ability to access the volume, variety, and velocity of data tends to compensate for data errors.  But, manufacturers and distributors in a wide variety of industries, such as food, medical devices, automotive, pharmaceutical and others, must be able to connect and correlate relationships, hierarchies and multiple data linkages to facilitate the recall of products that may contain tainted ingredients or faulty parts that could cause harm or even death.  And, this is why SYSPRO ERP is the choice of many companies within these industries.”

SYSPRO lot traceability and serial tracking data affords extensive and precise visibility up or down the supply chain, as well as providing specific component to parent tracking, thereby providing the means to expedite recalls, should the need arise. SYSPRO optionally allows specific traceable components to be reserved for specific work-orders, as well as providing the flexibility of specifying the parent traceable numbers at the beginning, during or the end of the manufacturing process.  While the average cost of a recall to participating food and consumer product companies can run into millions of dollars, this number excludes the extensive human expense involved in the recalls. The ability and speed to collect the required data can cut recall time to hours rather than days or weeks and significantly reduce the costs of the recall.

It’s a fascinating way to conceptualize how SYSPRO is different from many other ERP products on the market.

Mr. Who? Becoming Mr. ERP: Part II

During my involvement with Columbia University’s ERP system implementation and management, I recognized, even then, that accounting encompassed more than just cutting a couple of checks and doing bookkeeping.  It starts digging down into all the of the operations of an organization: how can you automate, how can you integrate, how can you tie-in all the different areas.  For the university, this meant integrating student records and student payments with government grants and contracts and accounting information and budgeting information and it all has to come together.  Nothing in a business happens in a vacuum, and each bit of business impacts on every other bit of it.

So realizing that accounting applies everywhere to all organizations, I decided to branch out, working to implement accounting systems. Overtime, these systems grew into larger systems with greater capabilities, and I learned that organizations can get much more from software if they take advantage of its full capabilities.  If companies are willing to make an initial investment in software – any software – they should also be willing to make the investment to maximize the gains software provides.

The ERP field has changed tremendously over the last 30 years, and that’s not just because the technology has changed, but because people have started to recognize the full power of the technology.  And this new tech-savvy quality has provided incentive and motivation for other companies to then start doing the same.

There are many stories of companies who have achieved great success through software and hardware capabilities and through understanding technology and what it could do for them.  Look at Wal-Mart as perhaps the largest and best known example.  That company has been driving a lot of change in technology because they continually assess their operational procedures.  In their quest for a more efficient supply chain they pushed the development of radio-frequency identification (RFID) tags, giving Wal-Mart (and eventually others) the ability to quickly track anything through a radio-wave-emitting tag and a nearby reader.

Without a large enough company able to spend that kind of money to develop the technology in the first place, RFID would not have existed, let alone become an industry standard.  These investments can also be observed with numerous other technological developments, all thanks to larger companies able to invest large resources to make them happen.

Often when a company is looking into ERP there’s one or two motivating factors; and since ERP has been around for so long, in most cases the company is currently on a system that that hasn’t been updated in a decade or more.  As a result, there’s either something they need to do with their ERP system and can’t or they need to upgrade their hardware or eventually learn the software that they’re running on is no longer supported either due to its age or because that company is no longer in business.

While technology changes are one of the primary driving forces, it’s not necessarily the best reason to start thinking about ERP.  The best reason to consider about ERP is to answer the question, “how can we do it better and how can we do it smarter?”

Although software isn’t the answer to everything, it is a very powerful tool that can allow companies to achieve some real, demonstrable gain.  Companies should learn how to maximize the value of software rather than throwing people at a problem – the key to success is thinking through the problem and identifying the best tools for a given situation.

Even the best staff needs the right tools.  If you enable people with the right tools then you increase productivity and see areas of gain through all parts of the business.  For example, with CRM software you get greater sales information and a more focused sales effort and sales cycle.  If that integrates through to the ERP side of the business, then the sales orders flow right into the processing side and manufacturing sees what they need to do, distribution sees what they need to do and purchasing knows what they need to order and everybody has visibility.

Mr. Who? Becoming Mr. ERP: Part I

I’ve been doing ERP for 30 years, and people often ask me if I planned a career in IT.  Like most people, I backed into my career through chance and good luck. 
 
In college, I was initially pre-med, but most of my classmates thought it was strange that I spent my time reading novels instead of biology.  When they recommended I turn instead to an English Lit major, I thought it made good sense.
 
Needing a way to finance my education, I took a job at Columbia University, which had tuition benefits, and applied for a transfer there.  Both of these activities were successful and during this time working at the university they had, serendipitously, just begun putting in a new ERP system, hiring Peat Marwick, one of the then ‘big eight’ accounting firms, to implement the system for them. 
 
During the initial phase of implementation, the Peat Marwick team visited each of the university’s departments, explaining how the process would work, what they could expect, and most importantly, soliciting their interest and support of the university’s new ERP system.  This process taught me a valuable lesson right from the beginning, which was, “If you don’t have the client involved in the implementation then it’s not going to be a successful implementation.”
 
I was immediately fascinated by the new ERP system, recognizing how it could help my job in the Business School by giving me the ability to access better information and manage operations.  But I also wondered at the things the Marwick team did not explain about ERP, and I kept thinking — “Wait a minute. If it can do this, then it should also be able to do this-and-that, too!”
 
Asking the right questions led to my receiving a call from the controller’s office asking me to be part of the implementation!  I’m probably the only pre-med student to chuck it all for literature and then participate in  a university-wide ERP implementation. 
               
Once the implementation was complete, I was hired as a manager of the new system for the university, working with the computer center to handle the technical side.  I also worked closely with the accounting staff as well as the different schools and departments, which was an incredible experience. 
 
By the way – I did end up getting my English degree at Columbia; but it was my experience with the ERP implementation that moved me to continue on for an MBA at Columbia.

I started Dataccount in 1992 because I thought that technology is a tool best used to achieve business objectives.  Too many companies buy the latest and greatest (or just the latest) without fully thinking-out whether a technology buy was a necessary expense in the first place.  I wanted to provide a fully-integrated solution that enables my clients greater insight into their operations with all the tools needed to successfully compete.  Companies need help with implementation, support and consulting services to increase the return on investment on their ERP software solutions.
 
What Dataccount offers to manufacturers and distributors, in particular, is a local presence and representative of several different ERP softwares, which support all aspects of the manufacturing and distribution process. This breadth of functionality gives the ability to synchronize, integrate and control a variety of process types all within one software system.
 
I think our three decades experience in ERP evaluation and implementation sets the Dataccount team apart. Each Dataccount team member possesses solid education and experience in the software, and we hail from richly diverse backgrounds in accounting and manufacturing, as well as technology. 
 
At a recent staff meeting I realized how tremendously deep and broad that range of experience truly is: Dataccount staff has 100 years combined technology experience!  In addition, most of the Dataccount team has been with me for over ten years, and our staff retention positively impacts our customer retention as well.

So Long, 2012; Hello 2013!

It’s time to say goodbye to 2012.  We have spent a lot of time this year reaching out to clients old and new by investing in new methods of communicating — including a total revamp of our Web site, reaching out on this blog, extending our presence on Facebook, Twitter and LinkedIn, and even starting our own YouTube channel!
 
We’ve also expanded our in-house capabilities by having Andy Baron join the team.  Before joining Dataccount as Systems Specialist, Andy consulted for OmnicomGroup, a global leader in advertising and marketing, and he has extensive experience in the manufacturing and distribution space.  He began his career in the garment industry, designing and operating systems for a sportswear manufacturer, enabling the company to handle rapid expansion. Andy next managed operations at a handbag manufacturer for four years, where he automated inventory management, including bills of materials, usage tracking, purchasing, and planning.  Proving his versatility, Andy developed systems for recipe management, cost tracking, and order fulfillment at a wholesale/retail bakery in Florida.  We are delighted to have him on board!
 
We have been ramping up in 2012 because we expect great things in 2013.  There are signs of an economic recovery everywhere, with increased activity in the industry and a renewed sense that the tide has turned.  As always, we stand ready to help clients (and our clients-to-be!) more effectively and efficiently run their businesses through a variety of ERP solutions and IT expertise.
